Placement Visibility at the Organization Level 

When volunteers are cross-trained to be part of multiple programs or opportunities, full transparency over an individual’s placement schedule is essential. What is Placement Visibility?

Placement Visibility provides organization administrators with a clear view of an individual’s opportunities and shifts at the highest level of the system.

Improve placement decisions by understanding where a user was previously placed and their associated work history, along with where they are currently placed and where they are scheduled to work in the future.

Features

The Placement Visibility feature includes two new views on a user’s profile at the organization level including an overview of an individual’s opportunities and full schedule. 

1. Visibility over an Individual’s Opportunities

If you are an organization that leverages its opportunities as shifts and does not leverage the opportunity-level schedule, this view will be a game changer for your organization. Understanding which opportunities a volunteer has been part of in the past can help with making better placement decisions. Likewise, having visibility over an individual’s current opportunities can help with understanding where not to place them. 

 

This new view includes visibility over:  

A searchable list of all the opportunities the user is part of that will help with finding the information required faster. 

When the user joined the opportunity will provide an understanding of how long the user has been participating in the opportunity. 

A date range filter with coinciding metrics will provide a full understanding of what was taking place during that timeline. The dynamic metrics over a customized timeline include: 

The number of opportunities the user is part of 
The number of shifts the user is scheduled in
The number of hours the user worked for the opportunity 
The number of hours the user scheduled to work in each opportunity

 

This new view also includes the following actions:

The ability to export the list of opportunities the user is part of for reporting purposes.  

Shortcuts to quickly remove users from opportunities to prevent administrators from having to do it elsewhere out of context. 

Shortcuts to quickly add users to opportunities for quick and easy actioning. 

General Check-in capabilities on behalf of the opportunity so that administrators do not have to navigate into the opportunity level to take action. 

 

2. Visibility over an Individual’s Full Schedule

Having a clear view of what shifts users are scheduled in across opportunities will reduce the chances of schedule conflicts going unnoticed. Administration time will also be saved, as managers are no longer required to jump into the opportunity level to retrieve a user’s schedule information.   

This new view includes visibility over:  

Standard shift information on the status of the shift and where and when the user is scheduled, providing a clear view across opportunities. 

Shift Conflicts: administrators now have visibility over conflicting shifts within an opportunity and across opportunities. This will help administrators quickly identify problems and get in front of potential issues.  

A date range filter with coinciding metrics provides administrators with a full understanding of what was taking place during that timeline. The dynamic metrics over a customized timeline include: 

The number of shift conflicts the user has 

The number of hours the user is scheduled to work in
The number of shifts the user is on the waitlist for
The number of hours the user is scheduled on the waitlist for
The number of opportunities the user is scheduled across

 

This new view also includes the following actions:

Shift Check-in capabilities allow organization managers to easily check a user into their shift at a high level so that administrators do not have to navigate into the opportunity level to take action.
